Choose a Bounded, Repeated Task
Start with a workflow that has clear inputs, predictable handoffs and a visible result. Examples include preparing meeting follow-up drafts, routing an inquiry or tracking missing onboarding items. Measure the current time and error rate before implementing anything. A process that is unclear to staff will usually remain unclear when automated.
Separate Drafting From Deciding
Define what the software may prepare, suggest or route and what a person must review. A draft meeting summary needs a check against the actual conversation. A task suggestion needs an owner and due date. Keep consequential recommendations, transactions and personnel decisions under appropriate human responsibility.
Plan Data, Permissions and Exceptions
Use approved tools and authorized information. Agree on vendor access, retention, security and the firm’s review and recordkeeping process. Test duplicate records, missing fields, unavailable systems and incorrect outputs. Give staff an exception queue and a manual fallback so work does not silently disappear.
Decide Whether to Expand
Compare completion time, rework, quality and adoption against the baseline. Include configuration, training, subscriptions and oversight in the cost. Document the workflow and the person responsible for maintenance. Expand only when the pilot works reliably.
